Before the Conference..
Get in touch with attendees! All Business Partners will be emailed a list of conference registrants, including their email addresses, no later than April 29th (one week prior to the conference). You will have permission to use this list to contact attendees for a period of three weeks.

At the Conference... 

  1. Join Us for Meals and Sessions! Business Partners are welcome to enjoy all meals and attend any general session or breakout session.
  2. Speed Introductions - Be ready at 11:00am to be called to the stage for speed introductions! Each exhibitor will have 30 seconds to introduce themselves and their company. Polish your pitch!
  3. NEW! Solutions ShowcaseGold and Silver Business Partners have the opportunity to share their expertise with attendees in fast-paced, round table discussions. These informative, solutions-driven conversations should focus on educational, action oriented topics that will give attendees real life tools to bring back to their community and make a real impact.
  4. EXPO TIME! Get ready to fire up the fun at our Backyard Barbecue-themed Expo! Conference attendees RAVED about last year’s 1980’s theme that embraced an upbeat, casual vibe and featured interactive games and giveaways. This year’s theme will once again offer an unmatched opportunity to authentically connect with clients and prospective customers.

    From classic BBQ games like cornhole and ring toss to creative giveaways that capture the spirit of summer, there are endless ways to bring the fun!

    Need some inspiration? Check out these easy, low-cost games for your booth!

    - S’mores Stack: Give each player one minute to stack as many marshmallows as they can without the tower falling over. The tallest tower wins!
    - Cup Tower: Players build the tallest structure they can with paper cups in one minute
    - Ping Pong Balance. Two players each pick up a ping pong ball with a spoon and balance them while racing 6 feet to a finish line!
    - Sort It Out: Give a player a pile of candy that are all different colors and when you say go, they have to sort the candy into piles of each color going one candy at a time. All candy must be sorted by color within the minute to win!
    - Marshmallow toss: Players have one minute to toss as many marshmallows into a bucket placed about 10 feet away. The player with the most marshmallows in the bucket wins.
    - S’mores Relay: Players carry a S’more on a spatula from one designated spot to another. The team that gets the most S’mores across the line in one minute wins.
    - Picnic Basket Race: Lay out picnic foods on a table. Teams have to pack the items into the basket as quickly as possible and then run across the field to a finish line.
    - Hula Hoop Contest: Who can keep their hula hoop in motion the longest?

Location
Portland Sheraton at Sable Oaks Hotel – 200 Sable Oaks Dr, South Portland, ME 04106. This is the location for all conference sessions and our Expo. Staying overnight? Book the group rate online or call the hotel at (207) 871-8000 to reserve your room. 

Limited Booths 
Exhibit space at LeadingAge Maine & New Hampshire’s 2025 Expo & Awards Program is limited to 30 booths. The first opportunity to reserve a booth will be granted to GOLD Partners, then SILVER Partners, then BRONZE Partners. GOLD Partners will have the opportunity to choose their specific booth location. 

We cannot guarantee but make every attempt to keep competitors separated.

Only one company is permitted in each exhibitor booth. Should exhibitors wish to share booth space, each company will need to be a LeadingAge Maine & New Hampshire Business Partner.

Expected Attendance
We expect approximately 150 provider attendees at this year’s conference.

Layout 
Each exhibitor will be provided a 30-inch, round high-top table. A branded table runner is recommended for best visibility. 

  • Booths on the perimeter will have room to display a telescoping banner, and most will have access to electricity (please bring your own extension cord and power strip). Footprint is approximately 5 ft w x 4 ft d.
  • Booths in the center of the room will not have electricity nor space for banners, as they would be tripping hazards. Footprint is a circle approximately 5 ft in circumference.
We will do our best to accommodate your needs. All booths are encouraged to have a tabletop or small free-standing game to play!

Staffing Your Booth and Additional Attendees
Business Partners each receive an allocation of “All Access Passes” for admission to all sessions, meals and the Expo (GOLD - 4, SILVER - 2, Bronze - 1). Due to limited seating capacity, we cannot offer any additional “All Access Passes” for purchase. Should you wish to have more representatives on the floor during expo hours, you may purchase extra Expo-only Passes (valid for setup starting at 2:00pm through the conclusion of the expo at 5:00pm). 

When to Set Up
You may set up your booth any time after 2:00pm on May 6th. All set up must be complete by 3:30pm on May 6th. We will share parking and load-in instructions as we get closer to the event.

When to Break Down
Exhibits can start to be broken down at 5:00pm and must be completely removed that evening.

Shipping Materials to the Sheraton Sable Oaks Hotel
If you are sending materials to the hotel, please ship to arrive no earlier than four (4) days prior to the event. All boxes in excess of five (5) will incur a $10 per box handling fee. Items must be labeled as follows:

Security
Exhibitors must provide for the security of their goods, materials, equipment and general display at all times. LeadingAge Maine & New Hampshire will not be responsible for the loss or damage of any material for any cause.

Payment
You will be invoiced for your Business Partner selection, which includes your booth and your allotted “All Access” passes. Full payment must be received by the association by March 28, 2025 to be an exhibitor. If we do not receive payment by this time, we will release your booth to any companies on our waiting list.

Cancellation Policy
An exhibitor who submits a written request by March 19, 2025 to cancel exhibit space will be guaranteed a full refund. Cancellation between March 19 - March 31, 2025 will result in a 50% refund. Cancellation on or after April 1, 2025 will result in no refund.
